Three categories of personal data are held by MY Innovate (HK) Ltd. They are subdivided in:

Personnel records, which include job applications and MY Innovate (HK) Ltd staff personal details, job titles, compensation details, payment records, benefits, leave, group insurance records, MPF records, performance appraisals, disciplinary matters, etc;

Information gathered through our website, which include names and email addresses collected for newsletter subscription or membership enquiry.

Other records, which include administration and operational files, personal data provided to MY Innovate (HK) Ltd from individuals for participating in promotional activities, newsletters subscriptions, consultancy services, membership applications, etc.

Main Purposes of Keeping Personal Data

Personnel records of employees are kept for the purpose of recruitment and human resource management, in relation to matters such as employee nominations, work benefits, termination, performance appraisal , disciplinary actions, etc.

Other records are kept for various purposes which include but are not limited to: administration of office functions and activities, membership application, subscription to newsletters, etc.

Information collected through our website is kept for the purpose of sending newsletters or membership information to subscribers registered through the website.

  • Use of cookies – When you visit our website, cookies will be stored on your device for navigation purpose. We do not collect or store any personal data from you under this circumstance.
  • Visitor Statistics – When you visit our website, your visit will be recorded as a “hit”. The webserver makes a record of your visit that includes your IP address (and domain names), the browser type settings, language, geographical location, operating system, and time/duration and the pages visited under an access log.

The access log exists for the sole purpose of improving our website. No personal data will be kept nor used to personally identify any party.

Protection measures

MY Innovate (HK) Ltd takes appropriate steps to protect Personal Data against loss, unauthorised access, use, modification or disclosure. No Personal Data processed by our customers through our systems will be recorded or kept by MY Innovate (HK), and all Personal Data remains in full control of our alliance members.

Retention

Different retention periods apply to the various kinds of personal data collected and held by MY Innovate (HK). The company maintains and executes retention policies of records containing personal data to ensure personal data is not kept longer than is necessary for the fulfillment of the purpose for which the data is to be used.

Disclosure of personal data

The personal data collected for membership applications may be disclosed to parties who will be contacted by MY Innovate (HK) Ltd during the handling of the applications, including the applicant’s legal representative if any. The information provided may also be disclosed to agencies or organisations who are authorised to receive information relating to law enforcement, prosecution or review of decisions.

When handling a data access or correction request, MY Innovate (HK) Ltd will check the identity of the requester to ensure that he/she is the person legally entitled to make the data access or correction request. A Data Protection Log Book is maintained as required under section 27 of the Ordinance.
